Important Reminders

Please make sure this information is shared with the necessary staff to prevent any problems or issues.

 

Acknowledgement of Referrals
It remains imperative that each provider acknowledges the referrals that we send to you for client services. For those with access to Q, we would appreciate a response of “accepted, acknowledged or declined” for the referral so we can authorize the service. For those who receive their referrals through fax, email or telephone, please let the Care Consultant know, using the same method as the referral, if your agency can provide the service (or complete an estimate for the service). The sooner we hear from you, the sooner we can authorize the service. Our clients rely on us to get services in place as soon as possible, so we rely on our providers to make this happen! 

 

Billing
Please make sure billing is completed each month. Billing should be entered by the 10th of every month. Please remember this impacts clients with a co-pay and could cause a hardship with their personal budgets.

 

Time Sheets
Please make sure you are putting the exact amount of time that you are providing the service to a client on the time sheet. We would appreciate the correct time being entered on the time sheet prior to the client signing the time sheet also. Your cooperation is greatly appreciated!

 

Contacting the client to schedule assessment
Please remember to only contact the client once the Care Consultant has authorized the referral to your agency. Care Consultants contact the client first to let them know that someone from the authorized agency will be calling them to schedule an appointment.

 

Communication
Please remember that communication is the key to making sure our clients are getting their needs met. All of the Care Consultants appreciate emails and phone calls about schedule changes, no calls/no shows on the part of the aide or client, changes in client’s appearance or demeanor, any concerns the aide may have about the client, etc. Please know that you can never “over communicate” with us!  We appreciate all of you and want to keep those lines of communication open at all times.
